HOW TO ACCESS YOUR DOCUMENTS IN THE CUSTOMER PORTAL
 
It is good practice to check what documents have already been uploaded to the customer portal when submitting an application (via the 'Link Existing Document' option) to save duplication of uploaded documents.
 
A 'Lookup Records' window will display showing all documents available to add to an application
 
Tick the relevant document that requires attachment to the application
 
Click 'Add' to attach it to the application
 
Documents are available for use by all contacts on the account for submitting an application for permit approval.
 
 
 
Note: Only 'Account Admin' contact role can access and edit documents in the customer portal
To access documents in your account within the customer portal click 'Documents' from the drop down under your name
 
 
OR
 
From the 'Parent Account'
 
Choose 'Documents' from the left hand side 
 
 
 
NOTE: Once a document has been uploaded to the customer portal it cannot be deleted. The document can only be moved from one view to another.
 
 
The following views are available within the customer portal
 
 
DOCUMENTS - AVAILABLE TO OTHER APPLICATIONS
 
Within the 'Documents' page the default documents that will display are 'Available for Other Applications'
 
 
Note: For documents to be in this view you would have had to mark 'YES' to the question when initially uploading the document
 
 
 
 
Examples of documents that you would make available to other applications would be
 
  • Insurance - COC
  • Deed of Indemnity - if it is a blanket DOD only
 
 
DOCUMENTS - NOT AVAILABLE TO OTHER APPLICATIONS
 
The other view option within the documents page is 'Not Available for Other Applications'
 
To access this view click on the down arrow beside 'Available for Other Applications' and choose 'Not Available for Other Applications'
 
 
A view of all documents that are not available to other applications will display
 
Note: For documents to be in this view you would have had to mark 'NO' to the question when initially uploading the document
 
 
 
HOW TO MANAGE YOUR DOCUMENTS WITHIN THE CUSTOMER PORTAL
 
NOTE: Once a document has been uploaded to the customer portal it cannot be deleted. The document can only be moved from one view to another.
 
If you have a number of documents within your 'Available for Other Applications' view and they are no longer valid or have expired E.G Insurance - COC
 
Click on the down arrow of the document
 
Choose 'Edit'
 
 
The document details will display
 
Drop down the arrow within the 'Available to other apps?' field
 
Choose 'No'
 
Click 'Submit'
 
 
The document will be removed from the 'Available for Other Applications' view list and display in the 'Not Available for Other Applications' view list
 
Note: No 'Deed of Indemnity' document in the list below

It is good practice to review your document view list to ensure that all documents are current so that they are easily accessible by all contacts on the account
when submitting an application for a permit approval
